Why JaniQuest – Our Communication and Problem Resolution Process

Honest and open talk regarding:

  • Why you hire a cleaning company.

  • What you expect from a cleaning company.

  • How your contractor communicates with you and resolves problems.

Your goal in hiring a janitorial service is to impact your facility, your Employees, and your company’s image in a positive way. A clean building can be safer, more efficient, and a much more enjoyable place in which to work than a building that is not maintained correctly.

Many Facility Managers are (unfortunately) used to being ignored by their cleaning services, and the only time they hear from them is when they receive their monthly billing.

Consider the nature of janitorial work. Your cleaning company may very well be in your building more often, and for a longer timeframe, than any other service you might use.

The process may seem pretty simple – we clean your facility, and you pay us to do it – but let’s face it - things are bound to happen along the way.

Our communication and problem resolution process is designed to create and maintain a long-term and mutually satisfying relationship, with the main goal being that “We’ll do what we say we’ll do”.

A continuous loop of communication between all three parties – the Customer, the Contractor and the Cleaner - must be established.

The Contractor/Supervisor then ensures that all concerns are resolved, either by a personal inspection of the facility or by a phone call to the Customer.

The Contractor inspects your facility on a regular schedule, and makes any necessary “tune-ups” with the Cleaner.

At the Customer’s request, an inspection can be performed with the Facility Manager during business hours.

In addition to ensuring that all work is done on time and satisfactorily, a good system of communication can also allow your Cleaner to:

  • Report problems within the facility, such as leaky plumbing, malfunctioning lights, etc.
  • Reinforce your security system by ensuring that doors are locked and alarms are set.
  • Convey anything unusual or “out of the ordinary”.
  • Track usage of restroom supplies and to request supplies in a timely manner.
